Online declaration of collars

Overview

Each year, members of the Club des Cent Cols declare the passes they have climbed by sending a list to their territorial delegate. This can traditionally be done by sending a written list or, to simplify processing, as Excel or Calc computer files. It is now also possible to enter a list of passes directly on the club website. This article explains how. A short collar declaration tutorial is also available. New members are discussed at the end of the article.

Members can alsorecord as a guide passes that have already been officially declared in the past, before the introduction of online declarations. A specific documentation is available for this purpose.

Preparing a list of collars

Most members are used to keeping a list of the passes they have climbed in the form of a spreadsheet. If you haven't already done so, some simple templates ODS (Calc) and XLSX (Excel) are available. From such a list, you can simply copy and paste the collars online. To do this, the following data must each be in a column:

  1. The collar code: must always be indicated. To find codes that are still unknown, it is necessary to tdownloadr the necessary catalogues. The country code (ISO 3166 code must always be present at the beginning of the collar code.
  2. The name of the pass, or one of the names if the pass has several names.
  3. The altitude of the pass. This can be omitted, but then the name given must really correspond to the code. If the altitude is missing, it cannot be used to confirm doubtful cases where the spelling of the name is too approximate. Two details: do not use a thousands separator, i.e. 1234 and not 1 234 or 1'234, and do not add the unit (m).
  4. The date of the pass: this is optional. The date can be given as the year, month and year or the day, month and year, for example: 2020, 8-2019 or 25-6-2017. For months, it is essential to use their number and not their name or an abbreviation. This date does not necessarily correspond to the year for which a collar is counted, particularly for collars recognised later.
  5. Other comments for the attention of the TD are possible.

The order of the columns is not essential, but to avoid any confusion, the altitude must precede the date and the name must precede the description. If the structure of your own file is too different, it is advisable to use one of the templates anyway. ODS (Calc) and XLSX (Excel) to prepare the list for submission. Using an additional sheet to sort the columns in the desired order (see above) can also be a good way of doing this. It is also possible to use a CSV (plain text) format, for example if you have a database from which you export your list.

List entry

On the club's website, you'll find information about the passes passed by members at this address:

You need to log in as a member to reach this page. In the menu that appears, there is a section for the official pass declaration. Selecting it will bring up a page with a large box in which you can paste your list of passes. The data must be in columns as explained above (points 1 to 5). And they must be separated by commas, semi-colons or tabs. If you copy them from a spreadsheet, the data is automatically well separated.
At the bottom of the page, you need to choose whether it is a partial or final declaration. The difference is that a partial declaration is not sent directly to the DT. The collars are recorded but remain pending submission. When a final declaration is sent, the TD will receive all the lists (partial + final). Next to these options is a button for sending the list. An initial analysis is then displayed, indicating whether the passes submitted have been found in the passes database and whether the names and altitudes submitted match. This analysis leads to a classification by category. A table of these categories is shown above the table of submitted passes. Please note that at this stage, nothing has yet been registered.. The first step is to check that the data provided has been interpreted correctly. A number of errors or simple inaccuracies may mean that this is not always the case, in which case you need to go back to the previous stage to correct the list. If in doubt, we recommend consulting the list of frequently asked questions at the end of this document.
Please note that passes deemed invalid will not be recorded at all. and therefore not subject to DT. These are, for example, those classified in category 3 (incomplete or inconsistent data) or category 6 (pass already declared, exclusion or duplicate). As a reminder, exclusions are passes with two coded passages (often a tunnel and a pass on the crest). According to the rules of the game, only one can be declared. Border passes can only be declared once, even if they have two codes.
To make it easier to check your list, you can click on the table column headers to sort your collars by code, category, etc.

Sending the list

Once everything has been checked and corrected if necessary, the recording can be made (button at the bottom of the page).
If the list contains invalid records, a warning will still be given. There will also be a warning if passes are declared that have already been registered as indicative. Of course, it is not forbidden to register a pass as a guideline and then declare it later. But in most cases, members who have registered passes have already declared them by sending a list to their TD. These passes have already been counted and it would not be acceptable to declare them again.
In the case of a final declaration, members should write a short message to their TD, who will be automatically notified.

Validation by the TD

The TD will see the same category classification that was presented to the member for verification. This classification will help him decide which passes can be accepted and which cannot. If he deems it appropriate, the TD may add comments concerning certain passes. When the decisions are recorded, the member will be notified by an automatic message. New members

For the time being, it is not yet possible to register the collars of non-members. When an applicant submits his initial list of collars, he must first be registered as a member. It is then up to the person responsible for registering new members to make an initial declaration based on the list they have received from the applicant. They can then also accept valid collars and enter their number on the new member's form.

Questions and answers (FAQ)

QuestionWhy ask for the name and altitude of the pass when the code should suffice?
Answer: In theory, yes. But in practice it's all too easy to make a small mistake in a code.

QI've put in the code for all my passes, but one of them is classified as "code not found in the database". Why is this?
RThis is probably a typing error. Or it may be a code that was present in a previous regional catalogue for Italy or Spain and has not been included in the national catalogue.

Q: A pass I did in 2021 appears without a date but with an altitude of 2021 m. Why is this?
R2021 can represent either a year or an altitude. To make the difference, always put the altitude before the year of passage.

QOne of my collars is classed as "already declared or duplicate". How can I check if this is the case?
RThe first thing to do is check your list. Don't forget that the same pass may have different codes if it crosses the border between two countries. Otherwise, you need to open the next page and check whether the pass is already listed as "new", "accepted" or "refused":

QCan I resubmit a collar that was rejected but is now in the catalogue?
R: Yes.

QCan I submit my collars in several batches?
RYes. Use the partial declaration option. And reserve the final declaration for the end of the year.

QI've made some partial declarations and now I'd like to finalise my declaration. But I don't have any more passes to declare. What do I do now?

QIn a road brevet, I have two mutually exclusive variants of a pass. I can have the brevet with only one of the variants, but as I've passed them both, I'd like them both to be displayed. As I can only declare one of them, what do I do about the second?
